How to record a motorcycle service with parts from inventory

Keep the work and the parts used together in the motorcycle’s service history. This guide starts with an existing rider connection and parts already entered in the appropriate inventory.

Updated

Before you start

A free Mechanic account connected to a Rider Pro user, access to the motorcycle and permission to add maintenance records. The parts you intend to record must already be in your inventory or the rider’s available stock. Pulse is not required.

Choose the motorcycle and describe the work

  1. Open Work → Maintenance in your Mechanic account. Select the rider and motorcycle, then open the form for adding a maintenance record. Check the motorcycle before entering the work, particularly if the rider shares more than one bike.
  2. Enter the service details. Choose the maintenance type and enter the date, odometer reading and service provider. Use the description to record what you did and any observations you want available at the next visit. Add the cost information you need to keep with the job.

Add the parts you used

  1. Find the parts-used section and choose the stock source. Enable Use parts from my inventory for parts from your own supply. Choose the rider’s stock when the rider supplied them. Check the source before selecting a part; the same item may exist in both inventories.
  2. Select the part and enter the quantity used. Check its name and reference against the item fitted. Review Billable Price and the displayed parts cost if you use those fields. Repeat for the other parts used in this service.
  3. Review the complete entry and save it. Check the motorcycle, date, work description, source and quantities together. Avoid creating another record while a save is still in progress.

Check the record and the remaining stock

Reopen the saved service from the motorcycle’s maintenance history. Confirm that the work, parts and quantities are present, then check the remaining quantities in the inventory you used. The service entry and the stock check tell you whether the job was recorded as intended.

If a part is missing from the selector, first check which inventory is selected and whether the item exists there. If saving reports an error, look for the record in the history before trying again. A missing record or an unexpected stock quantity needs checking; adding the same service again could make the history harder to reconcile.

If you cannot add a record for the motorcycle, ask the rider to check the maintenance permissions using the sharing guide.
